Visitor Express is part of NetFM UK Ltd. This GDPR policy will explain how our organisation uses the personal data we collect from you when you use our website, the Visitor.Express system or any other NetFM UK software system.

What data do we collect?

This website collects minimal personal identification information including name, email address, phone number, company.

Some of our client companies, as your employer, may provide your data for us to populate their instance of Visitor.Express so that you can sign in as an employee user to book Visitors, Parking, Desks and Meeting Rooms within your workplace. Examples of the information provided by your employer (or in some cases yourself as the user) include work name, work phone number, work email address, work team / department, car registrations and any relevant data that the system may need to prioritise workplace resource allocation.

How do we collect your data?

You directly provide our company with most of the data we collect. Some of our client companies may provide this data, or some of this data to us. We collect data and process data when you:

  • Register online, place an order or request a demonstration on any of our products, services or systems.

  • Voluntarily complete a customer survey or provide feedback on any of our message boards or via email.

  • Use or view our website via your browser’s cookies.

  • Register to use one of our software systems and make bookings, transactions or purchases.

Our Company does not receive your data indirectly from any other sources.

How will we use your data?

Our Company collects your data so that we can:

  • Respond to sales enquiries and requests for demonstrations.

  • Respond to and resolve User Support Requests.

  • Allocate and process requests for workplace resources such as Parking, Desks and Meeting Rooms.

  • Provide a smooth and secure Visitor Management process.

Our Company will never share your data with third party companies without your consent.

How do we store your data?

Our Company securely stores your data on secure servers protected by multiple firewalls with tightly restricted physical access and accessible only from known, pre-defined IP addresses with a 2 Factor Authentication process.

NetFM UK will keep your personal data for a maximum of 7 years, although many of our clients require a shorter period of retention. Once this time period has expired, we automatically delete your data from all our servers by documented and regularly reviewed processes.

You have the right at any time to request we delete any of your data that we hold and/or to request us to stop contacting you for any reason. If you no longer wish to be contacted or wish us to remove your data from our servers, please email us at gdpr@netfm.org

What are your data protection rights

NetFM UK would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
